The Job Tracking screen is laid out similar to the Estimate screen with the addition of an Actual Quantities column. Each item from the estimate will be shown. All you have to do is enter the actual quantity for each item. You can also change the unit cost if it ended up being different from the estimate.

The Job tracking screen can only be opened from the Estimates screen or the Project Diary screen.

Enter any notes you want in the Notes
field.

Click the Options
button and select Expand Item List to expand the list of items to the bottom of the screen. This allows you to view more items without having to scroll down.Select again to return to the normal view.

If you use the Detailed Site Copy Estimate
sheet to collect the actual quantities on the job, you can use this to fill in the job tracking screen.

If you use the Project Diary feature and check the Automatically Update Job Tracking Info
check box on the Project Diary screen, then the job tracking info will be entered as you add entries to the Project Diary for that project

When you enter the actual quantity, the actual cost and cost difference will be calculated. Subtotals for each category and totals for the whole job will be shown.

You can also add items to the Job Tracking screen that you forgot to include in the estimate. Adding items is the same as adding items to an estimate except you cannot enter an estimated quantity. This is always 0 and you just enter the actual quantity. Items you added to the Job Tracking screen will be highlighted in a different colour. To add individual items to an estimate, click the additemfromcostbookbutton button on the right. This will open the Cost Book Item Selector screen. This screen allows to easily find and choose an item from your cost book and add it to the job tracking screen. Only items from the category chosen on the Job Tracking screen will be available on the Cost Book Item Selector screen. See the Cost Book Item Selector topic to learn more about this screen.

You can also add a description or note to items you add but not to items that are from the estimate. This is useful if you would like to give more information about a product or describe how you propose to install it. To do this check the View Line Item Notes
check box. A blank line will appear below each item where you can type free screen text. Use the two small buttons to the right of the View Line Item Notes check box to increase or decrease the height of the field. When typing use the Enter key to move to a new line. You can include as much text as you like.

To delete an item you have added, click the xbutton button to the right of the item you want to delete. You cannot delete items that are part of the estimate.

Click the Options
button and select Recalculate to recalculate and refresh all numbers and to update the bar graphs.

Any changes you make on the Job Tracking screen will not affect the original estimate.

To print reports showing the job tracking information for the current job, click the Options
button and select Print. This will open the Job Tracking Print Options screen.

Job progress will be displayed as a percentage complete based on the estimated and actual man-hours.
