If you use QuickBooks® Pro 2003 or later you can copy an estimate or change order to QuickBooks® as an estimate or as an invoice. You must have chosen to use the QuickBooks® link on the Setup / Defaults. This feature will only work with the Canadian and US Versions of QuickBooks®.

QuickBooks® must be running with you company file open.

When you click the Options
button on the Estimates or Change Orders screen and select Create QuickBooks® Invoice. the screen show below will open.

Before you can copy an estimate to QuickBooks®, you must make sure you have copied all your cost book items to QuickBooks® first. You can do this from the Cost Book screen or you can click the Copy / Refresh Cost Book Items To QuickBooks®
button. Also you must already have copied the project the estimate belongs to QuickBooks®.

Due to the limitation of QuickBooks®, only the first 30 characters of the item name will be copied to the Item Name/Number
field in QuickBooks®. The full item name will be copied to the Description field in QuickBooks®. US users will need to set the tax codes in QuickBooks® for the items that were carried over.

If you need to do progress billing in QuickBooks® you must copy the estimate or change order over as an estimate. You can then use the progress billing feature in QuickBooks® to create progress invoices.

You have two options when copying an estimate or change order over as an estimate.

1.You can create a summary estimate by clicking the Create Summary Estimate button. This will create an estimate in QuickBooks® that has one line item which references the estimate in Quick Estimator™ 2005 along with the total amount and taxes for the estimate.  
 
2.You can create a detailed estimate by clicking the Create Detailed Estimate button. This will create an estimate in QuickBooks® with all the items from the estimate in Quick Estimator™ 2005 along with the total amount and taxes.  

If the estimate was created successfully, a message box will let you know and information from QuickBooks® will be returned and entered into fields on the Create QuickBooks® Invoice screen. This information includes the QB Estimate #, the QB Estimate Date, the QB Transaction ID and the QB Estimate Amount. This is for information purposes only and is not used by Quick Estimator™ 2005.
